Job Description
On behalf of our client, a fast-growing fintech and trading organisation, we are seeking a Head of Back Office to take ownership of all back office and payments operations, including PSP management, transaction processing, and operational governance.
This is a senior leadership role responsible for ensuring the accuracy, efficiency, and compliance of all client-related financial operations, while also owning and developing the company’s payments infrastructure and PSP relationships.
Role Purpose
To lead and oversee all back office and payments operations, ensuring seamless processing of deposits, withdrawals, and internal transfers, while maintaining full compliance with regulatory and AML requirements. The role also includes ownership of PSP strategy, performance optimisation, and continuous improvement of payment systems and processes.
Key Responsibilities
PSP & Payments Management
- Own and manage relationships with PSPs, card acquirers, and alternative payment providers
- Lead onboarding and integration of new PSPs, including testing and implementation
- Monitor PSP performance, approval rates, and transaction flows, identifying and resolving issues
- Optimise payment routing and processing efficiency
- Oversee daily payment operations including deposits and withdrawals
- Investigate fraud patterns, chargebacks, and suspicious activity in collaboration with Risk and Compliance
- Analyse payment data and recommend improvements to reduce friction and increase efficiency
- Identify and implement automation and enhancements within payment systems
- Provide regular reporting on PSP and payment performance to senior management
Back Office Operations
- Oversee all back office operations ensuring accurate processing of client transactions
- Ensure strict adherence to KYC, AML, CySEC, and GDPR requirements
- Maintain accurate and secure client records and documentation
- Work closely with Compliance on onboarding, due diligence, and ongoing monitoring
- Support Finance with reconciliations and cash movement tracking
- Assist with internal and external audits, ensuring full operational readiness
- Produce internal reports on client activity, transaction flows, and risk exposure
- Maintain structured and compliant documentation systems
Team Leadership & Process Improvement
- Lead and develop the back office team, ensuring high standards of performance
- Define and enforce operational procedures and best practices
- Drive continuous improvement across workflows, systems, and controls
- Foster a culture of accuracy, accountability, and efficiency
Ideal Profile
- 5+ years’ experience in back office, payments, or operations within CFD, fintech, forex, or iGaming
- At least 2 years in a senior or leadership role
- Strong understanding of PSPs, payment flows, card acquiring, and alternative payment methods
- Solid knowledge of CySEC, AML/KYC, and GDPR requirements
- Strong analytical ability with experience interpreting transaction and payment data
- Proven leadership experience managing teams and operational workflows
- Strong communication skills with the ability to engage PSPs, internal stakeholders, and senior management
- Experience with CRM systems, payment gateways, or transaction monitoring tools is an advantage
